Administrative Assistant/Office Manager

 
 

Professional & Technical Services, Inc. (PTS) is currently seeking an Administrative Assistant/Office Manager to support the day-to-day operations of the business. The ideal candidate will have the following qualifications:

  • A bachelor’s or associate degree in Accounting, Business Administration, Computer Information Office Systems, Finance, Marketing or a similar discipline;

  • Or a high school diploma, GED or equivalent with two (2) years of experience related to the position.

  • Strong computer skills, including Microsoft Word, Excel, and Teams.

  • Strong organizational and communication skills.

  • Demonstrated ability to write proposals, reports, and other business correspondence.

  • Prefer applicants with a working knowledge of QuickBooks or comparable accounting software.

 The successful candidate will join PTS front office staff and perform general office duties in support of professional and technical staff.

  • Office duties include processing mail and other documents, filing, scanning, copying, maintaining office supplies and equipment; and keeping the office neat, orderly and well maintained.

  • Perform payroll duties to include maintaining accurate and current billing account codes; reviewing timesheets; creating paychecks; making quarterly tax payments; posting retirement deposits; and processing year-end reports and filings.

  • Perform all duties associated with Accounts Payable.  Enter invoices into QuickBooks, confirming or assigning account codes as required (overhead, office supplies, fuel, etc.); Enter credit card charges, reconciling with monthly statements; Prepare and mail checks as required; File appropriate documentation as necessary.  Prepare year-end reports.

  • Perform all duties associated with Accounts Receivable including creation of QuickBooks time reports, invoices and supporting documentation.  Maintain a system to track and follow up on unpaid invoices.  Post payments.  Track billable time and expenses, create reports, invoices; prepare, deliver and maintain billing submittal documents; Monitor overdue Receivables and following up with statements or phone calls for delinquent collections as necessary. Post payments, prepare and deliver bank deposits.

  • Assist in business operations including taxes, audits, and compliance with regulations.

  • Assist in the research of RFP opportunities and assist with proposals.

  • Assist with IT coordination.

  • Creating and maintaining marketing content such as website, photos, graphics, project information, and employee resumes. 

  • Organize group activities and assist with HR duties.

  • Ability to sit or stand and work at a computer for extended lengths of time.

  • Must have the ability to move and maneuver up to 30 lbs.
